IT Access - Graduate Researchers

Your University of Melbourne student account will be disabled following a 12-month grace period.

Therefore, your supervisor can arrange an IT Access account, which is linked to its own email inbox, to provide ongoing access to University systems.

Frequently Asked Question

  • Graduate researchers who have submitted their thesis and are 'under examination' are still considered to be enrolled students and have access to University services, such as email and IT accounts, the library and support services.

If your student card has expired, you can reorder a replacement card by following the steps here.

Your faculty or school may restrict the use of some facilities, such as access to sole-use desk, after you have submitted your thesis. Check with your local graduate research administrator.

What you need to do

  1. Approach your Supervisor

Your supervisor will need to submit an IT Access request on your behalf via ServiceNow.

  2. Set up your auto-reply page

If this access is submitted and approved, we would suggest using our auto-reply page to ensure that your student account directs any mail senders to your new IT Access account during your 12-month grace period.

This will assist in creating a seamless transition between accounts for you and your colleagues.

Please be aware that once your account is fully disabled, any auto-replies or forwarding rules will cease to function, which is why we encourage the early setup of an alternate destination address to avoid any miscommunication with potential senders/recipients.
